    Microsoft is introducing an in-meeting toggle for Microsoft Teams that allows licensed organizers and presenters to turn Meeting AI on or off during live meetings. This feature, as outlined in Microsoft’s Message Center notice MC1319216, covers Copilot, Facilitator, and recap functionalities.

    The rollout will start in early July 2026 for the Targeted Release audience and will continue through late July 2026 for general worldwide availability. The update takes existing tenant policies and compliance controls into account. If Meeting AI is disabled via policy, the toggle will not be visible.

    What the New Meeting AI Toggle Does and How It Ties to Transcription

    A new Meeting AI toggle will appear in the Teams meeting toolbar for licensed organizers and presenters. When toggled off during a meeting:

    • Copilot, Facilitator responses, and Notes will no longer be generated
    • Previously generated artifacts remain available and governed by retention policies
    • If AI was being used without transcription, speech-to-text data stops and Recap is not generated

    An AI status indicator will show all participants whether Meeting AI is active.

    The toggle is designed to give organizers real-time control over when AI is active. Microsoft states the goal is to let licensed organizers and presenters capture insights when discussions are valuable and disable AI during sensitive topics.

    Meeting AI and transcription are linked when used together. Enabling Meeting AI automatically activates transcription and creates a recap. Starting transcription also turns on Meeting AI and generates a recap.

    For meetings that need to avoid AI, both transcription and Meeting AI must be disabled. Users seeking transcription without AI features should review whether the current setup meets their needs.

    What Doesn’t Change in Teams and When the Toggle Rolls Out

    The toggle does not influence meeting options set before meetings, or the behavior of recording, transcription, and sensitivity labels. It also does not affect retention and compliance policies or licensing requirements for Copilot and Meeting AI.

    Existing tenant policies will still determine whether Meeting AI is available in an organization. Microsoft has shared the rollout schedule for this feature.

    The targeted release is planned from early July 2026 through mid-July 2026, with general availability worldwide expected from mid-July 2026 through the end of July 2026. These dates were originally set for June but were delayed by about a month.

    What Admins and Users Should Do and Where the Toggle Is Available

    Microsoft notes that no action is necessary for the rollout itself but recommends a few steps to help administrators prepare. These include updating internal training and documentation to show where the Meeting AI toggle appears and who can use it, such as licensed organizers and presenters.

    They also suggest informing end users that starting transcription automatically enables Meeting AI and recaps, and that meetings requiring the absence of AI should not use transcription. Support teams should be ready to assist users with questions about controlling Meeting AI during meetings and understanding transcription behavior.

    For end users, they should look for the Meeting AI toggle in the Teams meeting toolbar during their meetings and be aware that the toggle appears only when Meeting AI is permitted by tenant policy. Toggling AI off does not delete any artifacts created earlier in the meeting. The AI status indicator, visible to all participants, helps ensure compliance and transparency.

    Participants can see whether AI is active during a call, which is important for meetings involving confidential discussions, legal proceedings, HR conversations, or client meetings where transcription and AI processes might need to be disclosed.

    Organizations that face regulatory requirements around meeting recordings and AI processing should update their protocols accordingly. Some jurisdictions require explicit consent from all participants before speech is processed by AI.

    The Meeting AI toggle is being gradually rolled out to Teams users through July 2026. This feature is listed under Microsoft 365 Roadmap ID 558286. If users do not see the toggle in their meeting toolbar, they should check whether their organization’s tenant policy allows Meeting AI, confirm that they have the necessary licenses for Copilot or Meeting AI features, and ensure the rollout has reached their region and organization.

    Microsoft has not announced any further changes to Meeting AI beyond the toggle. Users can stay informed about future updates by following Microsoft’s Teams announcements and the Microsoft 365 Roadmap, where potential new controls or additional AI features may be introduced.
